About this comparison

We scored 6 note-taking apps used in Finland on 20 metrics. The key question: is the real monthly or annual price revealed without contacting the vendor, does the service state the real limits of the free tier, and can you get years of notes out of the service before you lock yourself into one tool?

A note-taking app accumulates a knowledge bank over the years: lists, projects, ideas and linked information. So the most important question is not just price, but whether you can get your data out of the service and where it is located. We compared six note-taking apps used in Finland with transparent metrics: is the price revealed without contacting the vendor, what are the real limits of the free tier, and are data export and ownership stated before you lock into one tool.

What transparency means in this category

Monthly or annual price publicly shown without making contact (25), free version or trial and its real limits stated (15), data export and ownership (export format, lock-in risk) stated (15), EU or GDPR data location and data protection stated (15), package tier contents and annual vs. monthly price itemised (10), contract period and cancellation stated (10), owning company stated on the site (10)

Transparency is 30% of the total points · these metrics make up its 100 points · the full formula and the other pillars

How to read the comparison correctly: Score measures how openly a company publishes its prices, terms and contact details, not what kind of service it gives its customers. Clear differences in points indicate a genuine difference: one states the price immediately, another only after logging in. Close scores should not be read as a ranking order, because every measurement has a margin of variation. The measurement accuracy and the entire calculation formula have been laid open in the methodology.

Customer experience is brought into the assessment separately. We also collect customer feedback and customer experiences about the companies through separate surveys. The results will be added later to the overall assessment, so that the Score tells not only about transparency but also about how customers experience the company's service.

The most important question is data export and ownership. A note-taking app accumulates years of a knowledge base, and moving it out is the hardest obstacle to switching service. Before you start, check in what format you can get your notes out. Obsidian stores notes as local Markdown files on your own device, and Standard Notes' full data export is also included in the free tier. Some services export data only in their own format or limit export to paid tiers. It is worth assessing lock-in risk before you write years of content into one tool.

It is worth reading the free tier and its limits carefully. Almost all have a free version, but the limits vary wildly. Evernote's free tier was limited after the acquisition to 50 notes, one notebook and one device, whereas Standard Notes' free tier has unlimited device sync and end-to-end encryption. The stated lowest price is typically the annual billing price; monthly billing costs more. Check the real limits of the free tier and the price of the next tier before you start.

The services are international, the interface is in English. None of the apps in the comparison has a Finnish-language interface or support. Some are European-owned (Evernote and Bear in Italy, Standard Notes in Switzerland) and fall under EU data protection regulation, others are American. Data is typically located in the United States unless stated otherwise. We show the owning company and data location for each one. Free apps that come with a device or account, such as OneNote, Apple Notes and Google Keep, were left out of the comparison because they are not standalone subscription products.

Expert tips

Frequently asked questions

What is the most important transparency question for a note-taking app?

Data export and ownership. Over the years the app accumulates a knowledge base, and moving it out is the biggest obstacle to switching services. Check in what format you can export your notes before writing a lot of content into a single tool.

Is the free tier always enough?

Not necessarily. Free-tier limits vary wildly: some strictly cap the number of notes or devices, others offer unlimited sync and encryption free of charge. Check the actual limits, not just the word free.

Where are my notes located?

Typically on the provider's servers in the United States. There are exceptions: Obsidian keeps files locally on your own device, and in end-to-end encrypted services the content is unreadable even to the provider.

Why aren't OneNote, Apple Notes or Google Keep on the list?

They are free apps that come with the device or user account and are not separate subscription products. The comparison focuses on apps that have their own public pricing and subscription model.
